Policies

Registration New students must contact the office at (815) 277-6857 to see whether a placement interview is necessary. All outstanding account balances must be paid in full prior to registering for the school year. If you would like to register and currently have a balance on your account, please contact the program coordinator at (815) 277-6857 or info@opus118.org. Registrations will not be accepted without the registration fee and a completed payment plan form.

Payment Due Dates / Late Payment and Service Fees Tuition payments must be up-to-date and payments must be made on time. Late tuition payments are subject to a 2% late payment fee and suspension of lessons. A $30 charge will be imposed for any check returned by the bank. A registration fee of $25 is required at the time of enrollment.

Payment Plan A completed Payment Form is required at the time of registration. This form outlines your intended payment plan and method. Complete and submit your payment form at https://opus118.org/programs/after-school/tuition-fees/.

School Closings & Cancellation of Classes Opus 118 Harlem School of Music reserves the right to cancel any class due to insufficient enrollment. In such cases, unused tuition will be refunded. If Opus 118 cancels a lesson or class due to teacher absence or inclement weather, the class will be rescheduled. All weather-related closures will be relayed via email.

Withdrawal & Refunds A student who wishes to withdraw after lessons start must give the program coordinator two weeks prior written notice. Informing a teacher of intent to withdraw does not constitute adequate notice. The student will be billed and required to pay for the final two lessons regardless of whether he or she chooses to attend them. If the student has given proper notice and all tuition payments are up-to-date, Opus 118 will issue a refund for any lessons remaining, following the two-week notification period, less a $25 withdrawal fee. Please allow three to four weeks for the processing of refunds. Students must return their instruments at the time of withdrawal, or whenever they stop taking lessons.

Attendance Students must attend scheduled lessons, arrive on time, and bring their instruments. Students may have their registrations and financial aid awards canceled if they have more than three unexcused absences or arrive late to more than three lessons. Opus 118 may discontinue lessons for any student who is consistently tardy or absent.  Opus 118 will not supply instruments to students who have forgotten to bring their instruments for lessons. As a courtesy, students are asked to email the program coordinator at info@opus118.org at least 24 hours prior to any scheduled absence. In cases of emergencies, students are asked to contact Opus 118 as soon as possible at (815) 277-6857 to ensure that the instructor is informed in a timely manner.

Make-Up Lessons All missed lessons due to the teacher’s absence, if substitute teacher is not available, will be made up. One excused absence, for which the Opus 118 registrar has been notified 24 hours in advance, will be made up by the teacher. An unexcused absence, one in which the school has not been given 24 hours’ notice, WILL NOT be made up.  Opus 118 builds six make-up days into the lesson calendar. Two make-up options will be offered to the student for the first excused absence and each teacher-cancelled lesson. Should a family refuse both options, they forfeit the guarantee of the make up.  In addition, if a student confirms and then misses the agreed-upon make-up, the teacher is not required to offer another make-up lesson.
